    Built for Philippine lending companies

Loan management software for lending companies in the Philippines

Sari-sari stores, palengke vendors, tricycle operators and farmers repay from daily takings, so field collection has to be fast and provable. Vasool records each collection in seconds — offline if the signal drops — and gives you the receipt, the reconciliation and the audit trail behind it. Amounts run in PHP on Asia/Manila business dates, and every payment carries whether it came as cash, GCash, Maya or bank transfer.

What a Philippine collection operation actually needs

Not another spreadsheet — the record that stands up when a borrower disputes a payment, a collector's cash is short, or an examiner asks what you disclosed.

Speak the routine, approve the consequential

Officers dictate collections in Filipino, Cebuano and English and Vasool writes a structured record — borrower, amount, channel — not an audio clip. The records that carry real consequence go the other way: gate them per role and they wait in the approvals inbox until an owner or manager decides, with both outcomes on the audit trail.

Money out, spoken the same way

Expenses are dictated like collections — "Jeepney fare 80" — and land in the income and expense ledger with a receipt photo attached. Both sides of the round are captured where they happen, so the day book closes against real cash rather than a number reconstructed from memory.

Collect offline, anywhere on the route

Entries save on the device and sync when the connection returns. A dead spot in the palengke or on a provincial road never costs you a day's collection record.

Receipts a borrower can actually read

Generate a PDF receipt showing amount received, payment mode, date and remaining balance. Disclosure is your obligation, not the app's — but the paper trail behind it is here.

Cash, GCash, Maya and bank transfer, tagged separately

Every collection records its payment mode. Cash in the collector's bag reconciles against the day's declared total; digital payments reconcile against the account they landed in.

Agent cash accountability and daily close

Each collector's expected collection, actual collection, expenses and remittance are tracked to a daily close — so a shortfall surfaces the same evening, not at month end.

    Individual, group and centre-based borrowers

Run solidarity groups and centre meetings alongside individual borrowers, with each member's own principal, interest and payment history preserved beneath the group.

    Audit trail and maker-checker approvals

Every edit, discount, write-off and closure is logged with who did it and when. Hold staff changes for owner approval on the records that matter.

The route is the unit of the day

Plan daily and weekly routes, assign them to officers, and track completion as it happens with live GPS and a location history behind it. Every collection and expense is tagged to the route it came from, which is what makes end-of-day cash settlement a reconciliation rather than an argument.

Reports that close the day and the month

A day book per route, officer performance with collection efficiency and expense breakdown, collection summaries, overdue and DPD ageing, cash flow by account and profit and loss — each exportable as PDF or CSV, and answerable by voice when you would rather ask than navigate.

From route sheet to reconciled book

    1

Set up your company in PHP

Pick the Philippines at setup: peso amounts, Asia/Manila business dates and local phone formats, on your own isolated database.

    2

Build lines by market and day

Group borrowers into lines by palengke, barangay, collector or repayment day. A line organises the work; it does not classify the loan.

    3

    Collect and issue the receipt

The collector records the payment and payment mode on the spot, with photo proof and a PDF receipt for the borrower.

    4

    Close the day and reconcile

Compare declared cash and digital receipts against expected collection per collector, then post the day. Expected is never treated as received.

Who this is for in the Philippines

Philippine small-credit demand comes largely from cash-flow businesses — sari-sari stores, market vendors, transport operators, farmers and household microenterprises. They are served by very different institution types, and which one you are decides far more than how often you collect.

Lending companies and financing companies, including their online lending platforms, sit under the Securities and Exchange Commission's licensing, disclosure, market-conduct and enforcement framework. Microfinance-oriented banks and microfinance NGOs operate under their own arrangements, with Bangko Sentral ng Pilipinas materials describing microfinance as small, typically unsecured, cash-flow-based credit for low-income households and microenterprises. Cooperatives answer to the Cooperative Development Authority. Vasool runs the operations for any of them — it does not put you in any of those categories.

The country has a well-known informal '5-6' lending expression. A familiar name is not a compliance model. Before you operate, verify your company's authority to lend, the rate and fee limits that apply, your disclosure obligations, your data-privacy duties and the fair-collection requirements you are held to.

Why frequency is not the product

Daily collection fits a sari-sari store because stock turns daily. Weekly fits a market cycle. Monthly fits a salaried co-maker. Choose the schedule from the borrower's real cash cycle and the signed agreement — never because the software happens to support daily lines.

In Vasool a line is an operational portfolio for scheduling routes and reconciling collections. Underneath it, every loan keeps its own principal, interest, fees, penalties and payment history at borrower level, so an operational grouping never becomes an accounting shortcut.

Vasool is collections and portfolio software. It is not a licence, a registration, or regulatory approval, and no feature in it makes an unlawful loan lawful. Confirm your legal entity, lending permission and permitted product scope with a qualified local lawyer before your first disbursement.

Voice entry and approvals in the Philippines

A collector standing in front of a borrower is holding a cash bag and a phone, and the queue behind is not waiting. That is where entries get skipped and written up from memory at night — and a book reconstructed at night is a book nobody can defend. In the Philippines the officer speaks the entry instead — Filipino, Cebuano and English — and Vasool matches the borrower, parses the amount and the channel, and shows the match for confirmation before anything is saved.

Speed is right for a repayment and wrong for a decision. A collection is high-volume and low-consequence, so it posts as soon as the officer confirms it — the confirmation screen is the control. The records that change what a borrower owes are low-volume and high-consequence, so they can be gated instead: switch maker-checker on for the ones that matter here — a loan restructured for a borrower who missed a market week, a new borrower signed up at the stall, or a route moved between officers — and the change is held as a request rather than applied, routed to an owner or an assigned approver, and written to the audit trail whether it is approved or rejected.

The gate is set per role and per resource, so you are not choosing between slowing every officer down and controlling nothing. It covers customers, loans, chit and savings schemes, gold sales, expenses, staff, roles and routes today; holding an individual collection entry for approval is on the roadmap, not shipping. The voice approval workflow page walks through what is held, who it routes to, and what the trail records for each outcome.

A full day on the route, not just the collections

Software that records only repayments measures half a round. An officer working a route in the Philippines collects money and also spends it, and "Jeepney fare 80" is exactly the kind of entry that never reaches the book when it is scribbled on a slip and typed up that evening — which is when the cash bag stops matching. Vasool takes both by voice: the collection at the doorstep, the expense at the moment it is incurred, each with a photo where the evidence matters.

Everything attaches to the route. Routes are planned and assigned ahead of the day, officers navigate them with GPS, completion is tracked as it happens, and a location history shows where staff actually went. Because each collection and expense carries its route, the day book is per route and end-of-day settlement compares one officer's cash against one officer's recorded movements — not against a pooled total nobody can decompose.

What comes out of that is reporting you can act on: officer performance with collection efficiency, attendance and expense breakdown; overdue and DPD ageing; cash flow by account; and profit and loss for the period, exportable as PDF or CSV. The voice approval workflow page shows how capture, control and reporting fit together across every market.

Before your first disbursement in the Philippines

Work through this with your own counsel. Vasool can hold every record it produces, but it cannot answer any of it for you.

    • Confirm your legal form and lending authority — SEC-registered lending or financing company, cooperative, bank or microfinance institution.
    • Confirm the pricing, fees and charges you are permitted to apply, and how they must be disclosed.
    • Give every borrower understandable terms: amount received, total obligation, due schedule, pricing and a complaint contact.
    • Assess repayment capacity from the borrower's real cash cycle before setting a daily or weekly schedule.
    • Record the original principal separately from interest, processing fees and penalties.
    • Confirm your data-privacy obligations for borrower information and contact lists.
    • Document your collection conduct rules — no harassment, public shaming, contact-list abuse or threats.
