    Formal microcredit only

Loan management software for formal microcredit in Colombia

Colombia has real formal microcredit and productive-credit categories serving urban and rural microenterprises through cooperatives, banks, fintechs and other supervised institutions. It also has the informal daily-payment practice known as gota a gota. Vasool is built for the first and closed to the second — and the difference shows up in what the software insists you record: your legal authority, your product category, your permitted pricing, signed borrower terms, the outstanding principal, and a complaint route.

Records that separate formal credit from informal lending

A lawful operator should be able to produce all of this on demand. If your operation cannot, no software should be helping you collect.

Speak the routine, approve the consequential

Officers dictate collections in Spanish and Vasool writes a structured record — borrower, amount, channel — not an audio clip. The records that carry real consequence go the other way: gate them per role and they wait in the approvals inbox until an owner or manager decides, with both outcomes on the audit trail.

Money out, spoken the same way

Expenses are dictated like collections — "Transporte 8 mil" — and land in the income and expense ledger with a receipt photo attached. Both sides of the round are captured where they happen, so the day book closes against real cash rather than a number reconstructed from memory.

Product category and signed terms per loan

Each loan carries the credit modality it belongs to and the borrower terms actually agreed — a single generic monthly rate is not a record of anything.

    Per-modality pricing, recorded explicitly

Interest, fees and charges are held separately and per product category, because the supervisor certifies rates by credit modality rather than across the board.

COP amounts stored exactly as entered

Peso values run to many digits. Display formatting never alters the stored amount, so the ledger reconciles to the last digit.

    Microenterprise and cooperative borrowers

Run individual microenterprise credit and member-based cooperative lending, with each borrower's principal, interest and payment history preserved.

    Audit trail on every change

Every edit, discount, reversal, write-off and closure is logged with who did it and when — the outstanding principal is always explainable.

    Documented, respectful recovery

Missed payments are recorded with their reason and the contact that followed. There is no feature here for intimidation, and there will not be one.

The route is the unit of the day

Plan daily and weekly routes, assign them to officers, and track completion as it happens with live GPS and a location history behind it. Every collection and expense is tagged to the route it came from, which is what makes end-of-day cash settlement a reconciliation rather than an argument.

Reports that close the day and the month

A day book per route, officer performance with collection efficiency and expense breakdown, collection summaries, overdue and DPD ageing, cash flow by account and profit and loss — each exportable as PDF or CSV, and answerable by voice when you would rather ask than navigate.

From authority to a defensible book

    1

Set up your company in COP

Pick Colombia at setup: peso amounts, America/Bogotá business dates and local phone formats, on your own isolated database.

    2

Record your product category and pricing

Define the credit modality and the permitted pricing before lending, so every loan is booked into a real category.

    3

    Disburse against signed terms

The borrower's agreed terms, the amount advanced and the schedule sit on the account from the start, with a complaint contact.

    4

    Collect, allocate, reconcile

Each payment records its method and how it was applied, and reconciles by account against your statements.

Formal productive credit, not gota a gota

Colombia's formal microcredit and productive-credit categories serve urban and rural microenterprises through cooperatives, banks, fintech providers and other supervised institutions. The financial supervisor publishes certified rates for distinct credit modalities, which is precisely why a single generic monthly rate establishes nothing about compliance — the modality your product sits in determines what you may charge and how you must express it.

Alongside that sits the informal daily-payment practice known as gota a gota or paga diario. The National Police repeatedly link illegal versions of this model with excessive interest, intimidation, coercion and criminal collection. Vasool will not be presented as a way to legitimise or operate unlawful lending or coercive recovery, and we would rather lose the sale than take that business.

Vasool is collections and portfolio software. It is not a licence, a registration, or regulatory approval, and no feature in it makes an unlawful loan lawful. Confirm your legal entity, lending permission and permitted product scope with a qualified local lawyer before your first disbursement.

What a lawful Colombian operator can always produce

Identify your legal authority to lend. Identify the applicable product category. State your permitted pricing and how it is expressed. Show the signed borrower terms. Show the outstanding principal, separated from interest, fees and penalties. Show the borrower's route to complain. Those six things are the working definition of a formal operation, and they are what the software is organised around.

Peso amounts are large, so accurate numeric entry and audit trails matter more than visual familiarity: an input that reformats or truncates an amount produces a book that cannot be reconciled, and the error usually appears months later in a dispute.

Daily repayment is a legitimate schedule when it follows a microenterprise's real cash cycle and a signed agreement. It becomes something else entirely when it is chosen to maximise pressure. Vasool records the agreement, the schedule and the conduct — which is useful to an honest lender and inconvenient to a coercive one.

Voice entry and approvals in Colombia

A collector standing in front of a borrower is holding a cash bag and a phone, and the queue behind is not waiting. That is where entries get skipped and written up from memory at night — and a book reconstructed at night is a book nobody can defend. In Colombia the officer speaks the entry instead — Spanish — and Vasool matches the borrower, parses the amount and the channel, and shows the match for confirmation before anything is saved.

Speed is right for a repayment and wrong for a decision. A collection is high-volume and low-consequence, so it posts as soon as the officer confirms it — the confirmation screen is the control. The records that change what a borrower owes are low-volume and high-consequence, so they can be gated instead: switch maker-checker on for the ones that matter here — a rate or fee rewritten against a modality, and any renegotiated loan term — the records that separate formal credit from gota a gota — and the change is held as a request rather than applied, routed to an owner or an assigned approver, and written to the audit trail whether it is approved or rejected.

The gate is set per role and per resource, so you are not choosing between slowing every officer down and controlling nothing. It covers customers, loans, chit and savings schemes, gold sales, expenses, staff, roles and routes today; holding an individual collection entry for approval is on the roadmap, not shipping. The voice approval workflow page walks through what is held, who it routes to, and what the trail records for each outcome.

A full day on the route, not just the collections

Software that records only repayments measures half a round. An officer working a route in Colombia collects money and also spends it, and "Transporte 8 mil" is exactly the kind of entry that never reaches the book when it is scribbled on a slip and typed up that evening — which is when the cash bag stops matching. Vasool takes both by voice: the collection at the doorstep, the expense at the moment it is incurred, each with a photo where the evidence matters.

Everything attaches to the route. Routes are planned and assigned ahead of the day, officers navigate them with GPS, completion is tracked as it happens, and a location history shows where staff actually went. Because each collection and expense carries its route, the day book is per route and end-of-day settlement compares one officer's cash against one officer's recorded movements — not against a pooled total nobody can decompose.

What comes out of that is reporting you can act on: officer performance with collection efficiency, attendance and expense breakdown; overdue and DPD ageing; cash flow by account; and profit and loss for the period, exportable as PDF or CSV. The voice approval workflow page shows how capture, control and reporting fit together across every market.

Before your first disbursement in Colombia

If you cannot complete this list, the answer is not different software. Work through it with a qualified Colombian lawyer.

    • Identify your legal authority to lend and the supervisor you answer to.
    • Identify the applicable credit modality for your product.
    • Confirm the permitted pricing for that modality and how interest and fees must be expressed.
    • Give every borrower signed terms showing amount received, total obligation, schedule and pricing.
    • Give every borrower a working complaint contact and keep the complaints on record.
    • Record principal separately from interest, fees and penalties, in full pesos.
    • Assess repayment capacity from the microenterprise's real cash cycle before setting a daily schedule.
    • Document your recovery conduct — no intimidation, coercion, public shaming or contact-list abuse.
